OFFICE MANAGER - Chuck the Culligan Man!

We are seeking a qualified Office Manager to manage the day to day activities of the business office at Chuck the Water Man. We are looking for a dynamic person who has the skills necessary to handle the concerns of our valuable customers, providing a positive experience as a result.

The Office Manager will be responsible for customer inquiries and escalations, entering contracts, processing in house financing, handling collection activities, vendor payments, month end, and payroll. If you have similar office experience in a similar service industry where you're accustomed to scheduling or dispatching service technicians, route drivers, and/or other field staff....this is the career for you!!

Responsibilities:
  • Responsibility will include the supervision of one office clerical/customer service person
  • Resolve any consumer product or service related issues, following up with customers to ensure optimal satisfaction has been met
  • Assist the General Manager in the management of the operation by utilizing independent judgment and discretion on customer escalations, billing issues, expenditures and budgetary matters for the business; serves as the "manager-on-duty" on an as-needed basis
  • Maintain financial accounts by processing customer adjustments as needed
  • Manages and directs all accounts receivable activities, including the pursuit and follow-up of unpaid balances by contacting customers to remind them payment is due on a regular basis, sending non-pays to collections only when absolutely necessary
  • Primary responsibility for month-end close procedures
  • Payroll reconciliation for payment at the corporate level
  • Diligently works toward the completion of special projects and assignments as appropriate
  • Ability to clearly communicate, providing the necessary level of detail even under stressful or demanding conditions
  • Ensures a positive attitude and team orientation is exhibited in verbal and non-verbal communication
  • Proficient in using Microsoft Office and other standard office equipment
Qualifications:
  • Outstanding organizational and multi-tasking abilities required
  • Ability to prioritize tasks in a fast paced environment
  • Excellent written and verbal communication skills
  • Strong work ethic (honesty and integrity are key for this position and to our organization)
  • Excellent communication skills including helpfulness and patience in dealing with fellow employees, subordinates, external customers and vendors
  • Multi-line telephone skills to include, billing and account maintenance
  • Account collections
  • Cash and bank deposit
  • Proficiency with Microsoft programs specifically proficient in Excel and Outlook
