Membership Coordinator

The College is currently seeking a Membership Coordinator to update and maintain accurate and up-to-date data relating to ACOG's categories of membership. Responsibilities

  • Update and maintain membership data, including but not limited to mailing addresses, email addresses, area codes and telephone numbers. Verify and update online modifications performed by members who have not followed the postal service standard format. Maintain and update all information related to bad addresses received via returns from College/Congress mailings, postal service, and lockbox. Research and obtain further information for incomplete documents.
  • Generate reports and maintain monthly statistics. Responsible for various data cleanup initiatives, including but not limited to demographics. Responsible for the National Change of Address (NCOA) quarterly report to ensure deliverability. Review data for deficiencies or errors, correct any incompatibilities and check output.
  • Fulfill all inquiries for replacement issues of selected College publications (Green Journal). Work with ACOG staff and vendors to coordinate monthly requests and mailings. Create and maintain reports related to replacement issues.
  • Receive and validate notification of deceased members. Update database and prepare sympathy letters, under signature of Executive Vice President and Chief Executive Officer, to families and district officers. Compile information to be listed at the annual meeting. Generate special lists for other departments, i.e. Development department. Responsible for scanning all relevant documents.
  • Open and distribute department's mail. Determine, on a daily basis, which checks can be sent certified to the bank's lockbox and track delivery. Photocopy and endorse all checks not deliverable to the bank. Responsible for depositing application fee checks and CREOG Activity Fee checks to accounting in the absence of the Membership Specialist. Provide assistance is processing payments.
  • Update content on department's website. Coordinate with the Communications department to establish new webpages and hyperlinks. Maintain department's budget binder and work with Senior Director on department's budget. Analyze monthly financial reports and research and report any discrepancies.
  • Order and maintain office supplies for department. Answer phones, respond to queries for information and maintain departments filing system. Assist Dues Administrator with large mailings of dues statements and certified termination letters. Assist Senior Director and Senior Manager with special projects. Support department in additional administrative functions. Other duties as assigned.



  • High school diploma required; some college experience preferred
  • Minimum 3-5 years of computer data entry experience
  • Excellent customer service skills, including good telephone etiquette with an ability to collaborate with a variety of persons and institutions
  • Proficient in computer applications such as Microsoft Office
  • Must be detailed oriented and be able to follow specific database & postal service guidelines
  • Possess time management skills and handle a diverse work load
  • Strong written and verbal communication skills, including excellent spelling and proofreading skills
  • Previous association experience preferred
