Facilities Administrative Assistant


TwinStar Credit Union is seeking a full-time Facilities Administrative Assistant to join our team! This position provides high quality clerical and administrative support for the facilities and purchasing team ensuring an efficient and smooth day-to-day operation.

Essential Functions and Tasks:

  • Excellent planning, organizational skills, attention to detail and workload prioritization to ensure that deadlines are met.
  • Good written, listening and verbal communication skills for effective interaction with all colleagues and stakeholders.
  • Keen attention to detail and an aptitude for problem solving, with an ability to proactively address potential issues.
  • Assists the Facilities construction team with the construction projects from notice to proceed, completion and then occupancy. Compiles project meeting minutes, agendas, and schedules stakeholder meetings.
  • Manage electronic project documents: RFI, RFP, contracts, change orders, invoices, insurance, reports, meeting minutes, email communication, O&M manual's, as-built, etc. and document distribution.
  • Verify all contracts are fully executed, verify and collect subcontractor certificates of insurance, trusted vendor form and master service contract information. Ensuring that they are in good standing with vendor compliance before starting work.
  • Use and assist in managing Procore project management system: documenting/ tracking change orders, submittal review, transmittals, sub-contracts, accounts payable, vendor maintenance, documents management.
  • Establishes a positive working relationship with credit union staff, contractors, architects, consultants, subcontractors and public.
  • Processes invoices to include proper GL classification and completion of purchasing request forms when required, also updating payment and budget spread sheets.
  • Wears proper safety equipment, preforms preventative maintenance and completes assigned functions in accordance with established policies, procedures, L&I, WISHA, OSHA and ADA regulations.
  • Assists in maintains and updating the work order system assuring that each task preformed has a work order created.
  • Assist with security of buildings and systems, key and access control, and key management.
  • Assist the Procurement Officer as needed to fill supply orders, process purchasing request, and provide back up.
  • Administrative functions to include: filing, data entry, insurance claims tracking, etc.
  • Performs other duties as assigned.

Education and Experience Required:


  • High school diploma or GED


  • Working knowledge of current office practices and software: Microsoft office, generally translating to 1 year or experience.

Education, Experience, and Certifications Preferred:


  • AA or BA Degree in a related field


  • 2-6 years related facilities maintenance or construction
  • 1-2 years bookkeeping and contracts work
