Administrative Specialist

Principal Accountability

Form(s)/Paperwork Administration

  • Process various contract related forms and paperwork (i.e. USPS PS Form(s) 5500, or 5397 and 5466)
  • Research to validate or refute information provided on the various contract forms
  • Utilize multiple internal systems for data and information including GPS, ping (breadcrumbs), driver logs and transportation software as for researchManage workload to ensure client established deadlines are met
  • Ensure soft copy documentation and shared department files are maintained timely and accurately
  • Follow all proper policies, procedures and instructions of work assigned

Operational Liaison

  • Track repetitive service failure information to provide feedback loop to Operations management
  • Log data into internal system for Operations review and service tracking
  • Notify Terminal Managers of significant service issues
  • Assist with ad hoc data gathering and project management


  • Work collaboratively with other internal departments
  • Contribute to the overall workload to accomplish business and department goals
  • Communicate respectfully and build positive work relationships within and outside of the Contracting department


  • Other duties as assigned


  • High School diploma or general education degree
  • Associates degree preferred
  • Three plus years of billing/clerical data entry and research experience


  • Demonstrated knowledge of systems processing and data research
  • Strong knowledge of Microsoft software including Word, Excel and Outlook
  • Background in creating and sustaining business relationships and providing excellent customer service
  • Prior work with the United States Postal Service (USPS) a plus


  • Excellent analytical, reasoning and problem solving skills
  • Attention to detail and willingness to research, identify and challenge discrepancies
  • Ability to work independently
  • Ability to adhere to productivity goals and measures
  • Ability to work under tight deadlines with high customer expectations for accuracy and responsiveness
  • Excellent communication skills and willingness to assist others within the department
  • High level of organizational skills
