Payroll Administrator

JOB TITLE: Payroll Administrator


The Payroll Administrator will perform all activities necessary to process semi-monthly payroll, including maintaining related records, filing voluntary deduction forms, processing involuntary deductions such as levies and garnishments, documenting and updating procedures and importing labor. She/he should have a thorough knowledge and understanding of multi-state tax issues, will serve as the point of contact to reconcile and address employee payroll issues, and will research/resolve any labor corrections. She/he will coordinate the processing of bonuses, and any other payroll anomalies within the realm of payroll processing. The candidate must have working knowledge of accruals and working with automated systems; possess in-depth knowledge of payroll laws and regulations, and be able to reconcile or resolve all payroll related issues, including any tax related inquiries.


  • Maintains payroll information through the collection, calculation, and entering of data.
  • Ensures accuracy in computing wages, taxes, withholdings and deductions related to payroll.
  • Coordinates with HR and processes out of cycle payroll runs as needed for special circumstances (i.e. termination pay out of final pay, bonus runs and various miscellaneous and deferred compensation exceptions).
  • Imports and reviews labor distribution postings, timesheet corrections, tax filings and all labor and payroll related production. Prepares final payroll processing on semi-monthly basis.
  • Reconciles ADP reports to Deltek Costpoint reports to ensure all semi-monthly postings are prepared accurately and timely.
  • Prepares semi-monthly 401(k) report for HR to upload plan administrator
  • Prepares semi-monthly payroll journal entry for Accounting.
  • Posts PTO accrual in Unanet twice a month.
  • Prepares the PTO accrual journal entry for Accounting.
  • Generates ADP reports of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Provides payroll tax liabilities/net pay/garnishments and sends information to Finance.
  • Provides payroll expertise and information on technical payroll matters, interpreting and providing guidance with respect to statutory, mandatory and voluntary payroll deductions and answers questions and requests pertaining to such.
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Registers for state tax withholding/SUI account numbers.
  • Reviews and approves all tax related filings, auditor requests and timekeeping exports and postings.
  • Submits tax notices to ADP for research.
  • Works with ADP to prepare and review quarterly and annual reconciliations to include W-2 forms, 940 and 941 forms.
  • Prepares audit information for all annual audits, including Workers Compensation.
  • Documentation of processes and proven track record of improving efficiencies and streamlining processes.
  • Resolves payroll discrepancies as needed.


  • 5+ years payroll administration experience
  • In depth understanding of payroll processing using ADP and Deltek Costpoint payroll systems
  • Knowledge of ADP WorkforceNow
  • Knowledge of multi-state tax issues
  • Proficiency in Microsoft Office
  • Ability to prioritize and manage multiple tasks simultaneously
  • Detail oriented with strong organizational/communication skills
  • Ability to exercise sound judgment and confidentiality
  • Demonstrate initiative, flexibility, and ingenuity with the ability to effectively achieve organizational established goals and objectives
  • Ability to thrive in a fast-paced, customer service and collaborative team environment
